The Role of the Group Organiser

As the Group Organiser, we play an important role in bringing your group travel experience together. It starts with an idea and a group of interested travellers — from there, The Accommodation Brokers works alongside you to turn that idea into a memorable group journey.

Your role is to promote the travel program to your group, encourage participation and act as the key liaison between your travellers and our team. You’ll assist with coordinating traveller information, collecting payments and ensuring individual requirements are provided, while our experienced team supports you throughout the planning and booking process.

Once your group begins travelling, you’ll act as the primary contact for the group, working alongside our accommodation partners and local suppliers should assistance be required.

Best of all, depending on the number of participants travelling with your group, you may also be eligible for special Group Organiser travel benefits — making organising a successful group even more rewarding.

The cost of arranging group travel will depend on the size, complexity and individual requirements of your group. For straightforward point-to-point group travel, such as an A-to-B itinerary, a booking or service fee may apply to the airfare component.

For accommodation, however, The Accommodation Brokers generally does not charge the group a booking fee, as we are typically remunerated by the accommodation provider selected and confirmed on your behalf.

More importantly, our role goes well beyond simply finding rooms. We use our supplier relationships, industry experience and negotiating power to secure highly competitive group rates together with valuable inclusions and flexible booking conditions wherever possible.

Our negotiations can include more than the room rate. Depending on the group and property, we may negotiate complimentary rooms, room upgrades, breakfast, Wi-Fi, parking, reduced deposits, flexible cancellation terms, extended cut-off dates and other value-added benefits.

Every successful group journey starts with a clear understanding of exactly what you want to achieve. The Accommodation Brokers works with the Group Organiser to develop a detailed travel brief, covering destinations, travel dates, accommodation, transportation, activities, special requirements and the overall expectations for your group.

Once the brief has been agreed, our team begins approaching suitable suppliers, sourcing options, comparing proposals and negotiating pricing, inclusions and booking conditions on your behalf.

To commence this detailed planning and quotation process, a non-refundable deposit of AUD $1,500 is required. Importantly, this is not an additional cost if your group proceeds with the booking. The full AUD $1,500 deposit will be credited towards the final cost of your group arrangements, meaning the amount you have already paid forms part of the overall cost of your confirmed group booking.

Should you decide not to proceed with the group arrangements after we have commenced the sourcing, planning and negotiation process, the AUD $1,500 deposit is non-refundable.

Once you have selected your preferred itinerary and suppliers, further deposits may be required to secure your arrangements. Deposit amounts, payment schedules and applicable terms and conditions will vary between suppliers, and these will always be clearly communicated before you commit.

We understand that bringing a group together takes time. Where supplier conditions allow, final payment is generally due 60 days prior to departure, giving the Group Organiser valuable time to confirm participants, coordinate arrangements and collect individual traveller payments.

Throughout the process, our team will keep you informed of key payment dates, supplier requirements and important booking conditions, helping make the financial management of your group as straightforward as possible.

Full booking, payment, amendment and cancellation conditions will be detailed in the Terms & Conditions provided with your initial proposal, giving you complete transparency from the beginning.

The Accommodation Brokers accepts direct deposits and the following credit cards: Visa, MasterCard, American Express, Discover, JCB, please note a 2.2% credit card surcharge will apply.

Once your deposit payment has been made, this guarantees your airline reservations and guarantees the airfare quoted – all other payment must meet the required timelines set by the suppliers to guarantee your airfare. Please note tax and fuel are subject to change until paid in full and tickets are issued.

Yes, airline-imposed baggage fees may apply and be due at the airport; please consult your airline prior to departure for the latest fees.

For international travel, travellers must hold a valid passport. Travellers must confirm the specific passport validity requirements applicable to their itinerary prior to departure.

Visa and entry requirements vary according to the destination, purpose and duration of travel, transit arrangements and the traveller’s nationality and passport. Some destinations may permit eligible travellers to obtain a visa or entry authority on arrival, while others require a visa, electronic travel authority or other approval to be obtained before departure.
